Privacy policy
Last updated 23 September 2026
Book-ah is operated by Pyxel Route (Pvt) Ltd. This policy explains what we collect when you use the site or the software, what we do with it, and what you can ask us to do about it.
There are two kinds of data here, and the difference matters. There is information about you, our customer, which we decide what to do with. And there is information about your guests, which sits in your account because you put it there. The second kind is yours. We hold it on your behalf and act on your instructions.
What we collect about you
When you enquire, open an account or pay us, we collect:
Your name, email address, phone number and the name of your property, when you give them to us.
Account details: who your staff are, what they are allowed to do, and when they last signed in.
Billing details: what plan you are on, how many properties you run, what we invoiced and what you paid.
Technical information collected automatically, such as your IP address, browser and the pages you opened, used to keep the service working and secure.
What we never see
Your card number. Payments are handled by PayHere, who take the card details directly. We receive a confirmation that a payment succeeded and the last digits of the card, and nothing else. There is no card number in our database to lose.
Guest data in your account
Your bookings carry your guests: names, contact details, stay dates, what they paid. We process that data for you and on your instructions. We do not sell it, mine it, market to your guests, or use it to train anything.
You decide how long it stays. Ask and we will export it or delete it.
Why we use it
To run the service you are paying for.
To bill you, and to chase an invoice that has not been paid.
To answer you when you get in touch.
To find and fix faults, and to investigate abuse or fraud.
To meet a legal or tax obligation in Sri Lanka.
Who we share it with
We do not sell your data and we do not trade it. We use a small number of suppliers to run the service, and each of them sees only what they need:
Hosting and database providers, who store the service and your account.
PayHere, our payment gateway, for card payments.
Our email provider, to deliver invoices, password resets and booking notifications.
An error reporting service, which receives fault reports scrubbed of personal details.
Booking channels you choose to connect, which receive the rates and availability you ask us to publish and return the reservations they take.
The authorities, where the law requires it.
Cookies
The marketing site sets what it needs to work and to remember your display preferences. The application sets a session cookie so you stay signed in. You can block cookies in your browser, and if you block ours you will not be able to sign in.
How long we keep it
Account and booking data stays while your account is open. If you close it, we keep what we are legally required to keep, mostly invoices and tax records, and delete the rest.
Ask us to delete something sooner and we will, unless a law says we have to hold on to it.
Your rights
You can ask us to:
Show you what we hold about you.
Correct anything wrong.
Delete it, where we are not required to keep it.
Export it, in a format you can open in a spreadsheet.
Stop sending you anything that is not about running your account.
Security
Data is encrypted in transit. Each workspace is isolated at the database level, so one customer cannot read another customer even if the application above it has a bug. Access to production is limited to the people who need it.
No system is perfectly secure, and anybody who tells you otherwise is selling something. If we ever have a breach that affects you, we will tell you.
Changes
We'll update this page when the way we handle data changes, and change the date at the top. If a change materially affects you, we'll email you about it.
